High Peak Residential School which is set in beautiful grounds in East Cheshire is looking for a part time administrator to join our established team.

Hours of work are 16 to 20 hours per week: working either 2 full days Thu and Fri or to job share (Wed pm, Thu and Fri).

Description of Role:

The post holder will be working as part of the administration team and responsible for providing a variety of administrative support to the management team of High Peak School and also required to cover reception on a rota. The post will be focussed on providing a high quality of customer service to the staff, students, visitors and stakeholders of High Peak and to ensure that the administration meets statutory requirements and the expectations of the inspecting regulatory authorities.

Responsibilities and Duties relating to this role:

1. To assist the High Peak management team by providing administration support as directed including answering queries, maintaining records, producing letters and covering the reception desk.

2. To undertake the collation and input of data as and when required by the Care, Clinical and Education teams onto systems (e.g., Sleuth, Solar and People HR) including the recording and reporting of pupil absence, input of RPI’s, incidents and other data.

3. Be responsible for taking accurate minutes of meetings ensuring they are checked and distributed.

4. The compiling of reports and statistics for High Peak senior leadership team and Kedleston head office as required. Including using Excel to record information (such as the training matrix).

5. To ensure that all enquiries received via phone, email, and visitors to reception receive an excellent standard of customer service and are dealt with in a courteous and timely manner.

6. Preparation and printing of resources required ahead of staff meetings, external visitor meetings and parent evenings.

7. Assisting with Ofsted and Reg 44 inspections and ensuring that all relevant documentation is available and up to date.

8. Supporting with admissions and ensuring that pupil files are set up including personal records, medical records and other registers and documentation are correctly maintained, admissions procedures undertaken and records provided whenever necessary.

9. Under the direction of the senior team, creating and updating a timetable for Initial and Annual Reviews and distributing to relevant staff. To liaise with all relevant staff regarding the information required and deadlines to work to. Assist with proof reading of the Initial and Annual Reviews, including the typing, production and distribution of the documentation.

10. Recording of accidents and incidents that take place on site in line with the Health and Safety policy and procedure.

11. In the event of absence of colleagues, providing relevant cover as required including picking up aspects of HR and Finance admin to support colleagues.

12. Completion of general administration tasks in a timely and accurate manner, which are received via the helpdesk and prioritised as directed by the Business Office Manager.
